This policy describes how Pivotal Carrier Services ("PCS," "we," "us") collects and uses information through PCS OS™ ("the Service"), our internal operating platform and customer portal.

Information we collect

Account information (name, email, and, for Google sign-in, the profile information Google provides); business records you or your company submit (company details, contacts, documents, invoices, service requests, messages); and usage/audit data (sign-ins, actions taken in the Service) for security and compliance.

How we use it

To operate the Service — dispatch, compliance tracking, invoicing, and the customer portal — and to secure accounts, investigate misuse, and meet legal and regulatory obligations applicable to a licensed motor carrier/broker operation.

Third-party services

We use the following providers to operate the Service, each of which may process data on our behalf: Google Workspace (authentication), Supabase (database and file storage), Vercel (hosting), QuickBooks Online (accounting sync, only if your organization connects it), and Anthropic (PCS AI features, only for the specific content you send to the AI assistant). We do not sell your data to third parties.

Data retention

We retain business records and audit logs for as long as your account or your company's relationship with PCS is active, and afterward as needed to meet legal, tax, and regulatory retention requirements common in the transportation industry.

Security

Access to the Service is role-based and logged. Documents are stored in private, access-controlled storage. Sensitive credentials (passwords, API keys) are never stored in plain text.

You can request a copy of, correction to, or deletion of your personal information by contacting us below, subject to our legal recordkeeping obligations.
